Anglican Funds Management (AFM) has to collect information about its customers and prospective customers. Keeping that information up to date and secure is very important to AFM.
This Privacy Statement provides important information about how we collect and handle your personal information, including the purposes for which we collect and use your information and the types of organisations we share it with. It also explains how you can access and correct the personal information we hold about you, and how you can make a complaint about our handling of your personal information.
We collect your personal information so that we can provide products and services to you and to provide you with assistance and support. Some and when you communicate with the Diocese. We collect information provided directly by you or by a person acting with your authority.
The types of personal information we collect from customers and prospective customers, is usually limited to detailed contact information including name, date of birth, residential and mailing addresses, telephone numbers and email address, but also includes confirmation of your religious affiliation to the Anglican Church of Australia. Synod Office uses this information to satisfy compliance reporting requirements (for example to AUSTRAC, ASIC and APRA), to provide services to you and to communicate and correspond with you. If you do not provide the requested personal information, we may not be able to provide you with our products and services, or to provide you with support services to help you resolve issues you encounter with our products or services.
When we may disclose your information to third parties when conducting our services
We handle personal information in accordance with our Privacy Policy. Below are some specific examples of where we may disclose your information to third parties.
· To comply with legislative reporting requirements, such as reporting to AUSTRAC, ASIC and APRA.
· External service providers contracted by AFM to provide support services to AFM (eg administration of mail outs, information technology services).
· Releasing information in response to a warrant, subpoena, summons or written demand from a government authority with the power to demand the information or where otherwise legally required to do so.
· Notification to police and other persons if necessary to protect you or someone else from a serious or imminent threat to life or health.
We use a variety of physical and electronic security measures including restricting physical access to our office and password protection on our software systems to prevent unauthorised access.
We use Software under a license agreement with our technology partner Verto Group Pty Ltd, who are committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. However, it is our responsibility to collect and manage information that you as the user provide (“User Provided Information”) or information that is automatically collected through the use of the Software “Automatically Collected Information”). This Privacy Policy will outline how User Provided and Automatically Collected Information is collected, used and managed. ; however, we have responsibility for collecting and managing the information obtained for “User Provided” or “Automatically Collected” information.
When is information collected?
User Provided Information – The Software obtains the information you provide when you download our Mobile Application and submit forms (enquiries/testimonials) and create an account within the Software (if relevant). Creating an account is optional; however, please keep in mind that you may not be able to use some of the features offered by the Software if you do not have an account.
What ‘User Provided’ information is collected?
(a) Your name, phone number and email address when you make an enquiry; and
(b) Your name, email address and phone number information when you submit a testimonial; and
(c) Your name, email address, date of birth, gender, state, country, password, content preferences and optional phone number and profile picture when you create an account.
(d) (if relevant) your name, email address, address, state, cause and donation amount ($) when you submit a payment.
Any financial information such as credit card or bank details are collected at the time of making a one-off or recurring payment, for the purposes of processing those payments. Please refer to our Payment Terms and Conditions for more details.
What ‘Automatically Collected’ information is collected?
Our Software may collect certain information automatically, such as your operating system (browser and platform), your IP address and information about the way you use the Software. (See: “Automatic Data Collection”). If you would like to disable ‘cookies’, you can do so within your browser settings.
Is location information collected?
We may store and use your location in order to deliver tailored content to you. Location Services will only be stored and used if you have accepted and enabled them once prompted in our website and/or app (which ever is relevant), otherwise your location information is not collected. If enabled, you location is used to deliver relevant content to you. Please refer to your device or browser settings to disable location services if you no longer wish to share your location with us.
Do third parties see and/or have access to information?
We may share your information with third parties only in the ways that are described in this privacy statement.
We may disclose ‘User Provided’ and ‘Automatically Collected’ Information:
(a) (a) to our employees, contractors, suppliers, agents or service providers in order to deliver our services to you;
(b) As required by law, such as to comply with a subpoena, or similar legal process;
(c) (b) When we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request;
(d) (c) With our trusted services providers who work on our behalf, and have agreed to adhere to the rules set forth in this privacy statement including but not limited to Verto Group, whom we license Software from, that manage all our web and mobile applications.
(e) (d) To third party analytics companies as described below under the Section entitled ‘Automatic Data Collection.’
We may need to disclose your personal information to a third party located overseas, for a purpose set out in this Privacy Policy, or where you have provided your consent for us to do so. In this case, we will only do so to the extent necessary and take reasonable steps where we can to ensure that the third party handles your personal information in accordance with Australian privacy laws.
Automatic Data Collection
We may work with analytics companies to help us understand how the Software is being used, such as the frequency and duration of usage and what content is accessed the most.
How can I update my details?
If you have an Account, you may update your Account including name, phone number, date of birth, gender, state, password, content preferences and profile picture under ‘My Profile’. If you are unsure how to do this, please contact us. However, if you do not have an account, you can contact us and we can update these for you.
How do I delete my account?
If you have an Account, you may delete your account by selecting ‘Delete Account’ under ‘My Profile’ to have all your details removed from our system. This will remove your account including all personal details and content preferences. If you are still unsure how to do this, or if you do not have an Account please contact us and request to be removed from the system.
Data Retention Policy, Managing Your Information
All information collected is stored on our secure servers located in Australia. We will retain User Provided data for as long as you use our Software and for a reasonable time thereafter. If you would like us to delete User Provided Data that you have provided, please contact us directly.
Please note that some or all of the User Provided Data may be required in order for the Software to function properly, and we may be required to retain certain information by law.
Children
We do not use the Software to knowingly solicit data from, or market to, children under the age of 13. If a parent or guardian becomes aware that his or her child has provided us with information without their consent, he or she should contact us directly.
Security
Our technology partner is concerned about safeguarding the confidentiality of your information. They provide physical, electronic, and procedural safeguards within their Software to protect information that is processed and stored. For example, they limit access to this information to authorised employees and contractors who need to know that information in order to operate, develop or improve their Software. Please be aware that although they endeavour to provide reasonable security for information we process and maintain, no security system can prevent all potential security breaches.
Changes
This Privacy Policy may be updated from time to time for any reason. We will notify you of any changes to our Privacy Policy by posting the new Privacy Policy here. You are advised to consult this Privacy Policy regularly for any changes.
Your Consent
By using the Services, you are consenting to our processing of User Provided and Automatically Collected information as set forth in this Privacy Policy now and as amended by us. "Processing,” means using cookies on a computer/hand held device or using or touching information in any way, including, but not limited to, collecting, storing, deleting, using, combining and disclosing information, all of which activities will take place in Australia. If you reside outside of Australia your information will be transferred to Australia, and processed and stored there under Australian privacy standards.
By using the Software and providing information to us, you consent to such transfer to, and processing in, Australia.
